Automate the creation of invites with Helix
Learn how to connect Helix with betterbunch and automatically create invitations when your jobs are completed.
Helix Automation takes the manual work out of sending invitations by connecting your Helix account with betterbunch.
Once connected, eligible completed jobs are automatically sent from Helix to betterbunch, where we use the customer details from the job to create an invitation.
That means less manual uploading, fewer jobs to keep track of, and a more consistent flow of invitations going out to your customers.
How Helix Automation works
When an eligible job is completed in Helix, Helix sends the customer’s name, email address and phone number to betterbunch. We use these details to automatically create their invitation.
Helix sends eligible completed jobs to betterbunch at the end of each business day.
Once the invitation has been created, betterbunch will send it based on the delivery time you have set in your Helix Automation settings.
Connecting Helix to betterbunch
To set up Helix Automation:
- Email [email protected] and let us know you’d like Helix Automation turned on.
- By default, Helix will exclude commercial work. If you’d like different filters applied, include these in your email.
- Helix and betterbunch will set up the connection and let you know once it’s live. This usually takes 1–2 business days.
Once connected, your eligible jobs will begin flowing through automatically, so you won’t need to manually upload them to betterbunch.
Choose when invitations should be sent
You can control when invitations created through Helix are delivered.
Once connected, go to Automation > Helix > Edit, then choose your preferred sending option:

Best time to send – betterbunch uses engagement data to send the invitation at a time the customer is more likely to respond.

Right away – sends the invitation as soon as the job reaches your selected trigger status.

After delay – holds the invitation for the number of hours you choose before sending it.

At specific time – sends the invitation at the exact time you choose.
Click Save to keep your preferred send time.
Tip: A sending delay can be helpful if you’d like some time to check what has come through before invitations are sent. You can review pending invitations from your Invitations page and delete any you don’t want to send.
Tip: If you regularly work with the same customers, set a cool-off period to prevent them from receiving invitations too often. You can manage this under Settings > Rules.

When will Helix invitations appear in betterbunch?
Helix sends eligible completed jobs to betterbunch at the end of each business day.
Once betterbunch receives the job, the invitation will be created and sent according to the delivery time you’ve chosen in your Helix Automation settings.
How can I stop repeat customers from receiving invitations too often?
Use the Cool-off Period under Settings > Rules.
This prevents another invitation from being sent to the same customer within the timeframe you choose. It’s especially useful if you regularly work with repeat customers.
Where do I change when Helix invitations are sent?
Go to Automation > Helix > Edit.
From here, you can choose whether invitations are sent at the best time, right away, after a delay, or at a specific time.
Do I still need to upload customer lists manually?
Not for eligible Helix jobs. Once the automation is connected, Helix will send those jobs to betterbunch automatically.
You can still create or upload invitations manually whenever you need to. For example, you might send a single invitation to someone who isn’t listed on the job, such as a project manager.
What template will be used in the invitations created by Helix Automation?
Invitations created through Helix Automation will use your default invitation template. You can view or change your default template under Settings > Invitations.
We operate multiple branches from one Helix account. Can I automate?
Yes. Let us know which branches operate from the same Helix account and which branch or branches you’d like to automate. We can configure your Helix filters so only jobs associated with your chosen branch are sent to betterbunch.
