Automate the creation of invites with MYOB
Learn how to connect MYOB with betterbunch and automatically create invitations when your customers are invoiced.
MYOB Automation takes the manual work out of creating invitations by connecting your MYOB account directly with betterbunch.
Once connected, betterbunch can automatically create an invitation using the customer details attached to an eligible MYOB invoice.
MYOB Automation is available on all betterbunch plans and requires access to MYOB AccountRight.
How MYOB Automation works
When an invoice is approved in MYOB, betterbunch receives the customer's name, email address and phone number from the invoice and uses these details to automatically create an invitation.
This works for invoices created directly in MYOB, as well as invoices created through job management software such as Fergus or Mechanic Desk and then synced through to MYOB.
Note: The MYOB invoice must contain the customer's contact details for an invitation to be created. Cash sale reconciliations without customer information aren't supported.
Connect MYOB to betterbunch
To set up MYOB Automation:
- Log in to your betterbunch account.
- Select Automation from the left-hand menu.
- Find MYOB and click Connect.
- Log in to MYOB.
- Select the MYOB organisation you'd like to connect.
- Click Allow access to give betterbunch permission to communicate with MYOB.
- Once your account is connected, you'll be prompted to setup your MYOB automation settings.
Configure your MYOB automation settings
Set your invoice keyword filters
Keyword filters give you more control over which invoices create invitations.
For example, if you don't want deposit or part-payment invoices to create an invitation, you can add keywords such as:
- deposit
- part payment
- 50% deposit
Use the keyword filter settings to choose what betterbunch should do when one of your selected keywords appears in the comment section of an invoice.
This is especially useful if your business creates multiple invoices for the same customer throughout a job.
Choose when invitations should be sent
You can also control when MYOB invitations are delivered.
- Best time to send– betterbunch uses engagement data to send the invitation at a time the customer is more likely to respond.
- Right away – sends the invitation as soon as the job reaches your selected trigger status.
- After delay – holds the invitation for the number of hours you choose before sending it.
- At specific time – sends the invitation at the exact time you choose.
Edit your MYOB automation settings
Already connected to MYOB?
You can update these settings at any time:
- Go to Automation.
- Find your MYOB connection and click Edit.
- Update your automation settings.
- Save your changes.
Your MYOB-specific settings, including your keyword filters and sending delay, are managed from this page.
Other invitation rules, like your cool-off period, promoter retargeting, no-interaction retargeting and quiet times, are managed separately under Settings > Rules.
Frequently Asked Questions
How can I stop repeat customers from receiving invitations too often?
Use the Cool-off Period under Settings > Rules. This prevents another invitation being sent to the same customer within a timeframe you choose and is useful for repeat customers or commercial clients.
How do I stop deposit invoices from creating invitations?
Go to Automation > MYOB > Edit and use your Invoice Keyword Filter.
Add terms that usually appear in the comment section of your deposit invoices, such as deposit, part payment or 50% deposit, and configure the filter so those invoices don't create invitations.
How do I review the communication between MYOB and betterbunch?
Go to Automation > Logs to view your MYOB Automation Logs.
From here, you can check the information being received from MYOB and review any issues with invitations being created.
