How to delete sensitive customer data

This article explains how to delete sensitive data for privacy purposes

If your internal privacy policy requires customer information to be deleted from external sources after a set period, you can use the Purge sensitive data setting in betterbunch.

Once customer data is purged, personal details such as names, email addresses and phone numbers are permanently removed and replaced with Data removed.

How to turn on Purge sensitive data

  1. Log in to your betterbunch account.
  2. Select Settings from the bottom left. 
  3. Open the Security tab.
  4. Find the Purge sensitive data setting and switch the toggle ON.
  5. In the After days field, enter how many days you would like customer information to remain available.
  6. Turn on Purge feedback if you also want customer feedback permanently removed after the same number of days.
  7. Select Save.

Important: Purging data is permanent. Purged customer details and feedback cannot be recovered

Important: If you use Shareables that enter your customer into the Better Rewards prize draw, set your purge period to 100 days or more. A shorter period could permanently delete a winner’s details before the draw.

Purging customer feedback

Once Purge sensitive data is turned on, you can also enable Purge feedback.

This permanently deletes:

  • Feedback submitted by the customer
  • Any customer details included in their feedback
  • Internal notes added to the feedback

Leave this setting turned off if you want to retain the customer’s feedback after their personal details have been removed.

What happens after data is purged?

Once customer details are purged:

  • Names, email addresses and phone numbers are replaced with Data removed
  • Invitation history, ratings and reporting will continue to work
  • You will no be able to view the customer’s personal information in your invitation or activity logs
  • Blocked contacts, unsubscribes and cool-off periods will continue to work as expected

To support blocked contacts, unsubscribes and cool-off periods, betterbunch retains a scrambled, or hashed, version of the customer’s contact details. This cannot be read or reversed, but allows the system to continue recognising blocked or recently contacted customers.

Tip: Make sure the number of days you choose meets your business, reporting and privacy requirements before turning this setting on.

Using Better Rewards with Shareables

If you use Shareables to offer customers entry into the Better Rewards prize draw, enter 100 days or more in your purge settings.

Choosing less than 100 days could permanently delete a winner’s details before the prize draw takes place.
