Automate Invitation Creation with Simpro

Connect Simpro with betterbunch to automatically send invitations to your customers

This feature is available on all betterbunch Pro plans.

How Simpro Automation Works

When a Simpro job reaches your chosen job status:

  1. betterbunch checks the job against your exclusion rules.

    • If the job contains an excluded cost centre, zone, or tag the invite is deleted.

  2. If the job passes the checks, betterbunch applies your sending rules.

    • The invitation is created and sent automatically to the selected contact(s) at the time you specified.

Contacts can include:

  • Individual

  • Company

  • Site contact

Connect Your Simpro Account

Follow these steps to connect Simpro for automation:

  1. Log in to your betterbunch account.

  2. Go to the Automation page in the left menu.

  3. Click Connect to Simpro.

  4. Paste your Simpro URL into the textbox. Learn how to find your Simpro URL.

  5. Log in to Simpro in the pop-up and authorise the connection.

  6. If multiple companies are linked to your Simpro subscription, choose the company to connect and click Connect Company.

Set Your Sending Rules

  1. From the dropdown, select the job status that will trigger an invitation.

  2. Choose which contacts will receive the invite: Individual contact, Company contact, and/or Site contact 

  3. Select the sending time:

    Option What it does
    Best time to send betterbunch analyses data to send at the time recipients are most likely to open/respond.
    Right away Sends immediately after the job reaches the trigger status.
    After delay Sends after X hours (you choose the delay).
    At specific time Sends at the exact time you specify.
  4. Click Next.

Tip: We recommend sending to all associated contacts (individual, company, site) to maximise outreach.

Set Your Exclusion Rules

Exclusion rules prevent invites from being sent for certain jobs.

  1. From the dropdown, select a category: Tags, Zones, or Cost centres.

  2. In the textbox, type the keyword you want to exclude.

    • This must exactly match the category in Simpro.

    • Click enter between each Tag, Cost centre or Zone to add. example_exclusions
    • Example: Exclude jobs tagged as Commercial

  3. Click Next.

Review and Test Your Setup

  1. Review your automation settings.

  2. If satisfied, click I’m happy with that setup.

  3. (Optional) Click Back to make changes.

  4. Test your setup:

    • Create a dummy job in Simpro with your own details.

    • Update the job to the trigger status.

    • Confirm the test invitation is sent to you.

Q: Can I use Simpro automation if one account services multiple sites?
Yes. You can link one site from your Simpro account to your betterbunch account.

Q: Can I have more than one job status as a trigger?
No. Only one job status can trigger invitations.

Q: Can a job send invites to multiple contacts?
Yes. You can send invites to site, individual, and/or company contacts.

Q: Which Simpro field provides customer data?
betterbunch retrieves details from the Primary Customer Contact field.

  • If the contact has a first name it's treated as an Individual.

  • If the contact’s first name is blank it's treated as a Company.

Q: Can I exclude more than one Cost Centre, Zone, or Tag?
Yes. Enter multiple keywords in the exclusion textbox. If any match, the invite will be blocked.

Q: Can I exclude across categories (e.g., Zone + Tag)?
No. Only one category type can be excluded at a time.
