Automation connects your invoicing, job management, or customer relationship management (CRM) software to betterbunch. Once it's set up, whenever a defined trigger (such as job complete) is met within your software, betterbunch will receive the details – customer name, email, and phone number – and use that data to send out an invitation automatically.

What is Zapier, and how does the Zapier Integration work?

Zapier is an online automation tool that allows you to connect your favourite apps, services, and software applications to automate tasks and workflows. Zapier supports a wide range of popular apps and services, including Stripe, Shopify, Service M8, Vend, Timely and Nimbus.  It operates on the principle of "Zaps," which are automated workflows that connect two or more apps to perform actions triggered by specific events.

In the case of betterbunch, Zapier connects your invoicing, job management, or CRM with betterbunch. Once connected, whenever a defined trigger (such as job complete or job paid) is met within your software, betterbunch will receive the details and automatically generate a feedback invitation - you don't need to lift a finger. 

Here's how Zapier works. 

1. A trigger is met: A trigger is the event that starts the automation. For example, a job being marked as paid inside Service M8 or a sale being completed in Shopify

2. An action is directed: An action is a task you want to automate in response to the trigger event. For example, your software sends the name, email and phone number of the contact to betterbunch

3. A Zap has been made: A Zap is a connection between a trigger and an action. When the trigger event occurs, Zapier automatically performs the specified action, and betterbunch uses these details to generate an invitation on your behalf

It's designed to simplify repetitive and time-consuming tasks like manually sending invitations by automating the process. 

How to connect Automation using Zapier Integration?

  1. First things first, we need to check to see if betterbunch has a custom integration with your software already. Check out this list to see if there's a custom integration, and if so, follow that process instead.
  2. If we don't have a custom integration with your software, the next step is to check if your software is supported by Zapier.
    Check out Zapier's integration list, and if it's listed there, let's do this! thing!

  3. The next step is to create your Zapier account. Follow the prompt here to set up your Zapier account
  4. Once you have created your Zapier subscription, head to your Zapier dashboard and select the glowing orange Create Zap button
  5. Select trigger in the centre of the page and enter your software provider (such as Shopify or Service M8) 
  6. On the right-hand menu, select the event that will create the trigger.
    In other words, when this 'event' happens, an invitation will be sent to your customers. In most instances, the event will be 'job completed', 'new paid order', or a similar event that signals the completion of a sale
  7. Hit Continue and follow the prompts to sign into your CRM, Invoicing or Job Management software 
  8. Next, we'll be prompted to test your trigger. Select test trigger, and review the data pulled through. This will show you the most recent event that met your trigger criteria.
    If you are happy with the example that has pulled through, continue to step 9. If you believe a different contact should have pulled through, revisit steps 6 and 7
  9. Next on the list - setting the action. Click Select Action and click betterbunch
  10. Select Continue, and you'll be redirected to a page where you'll need to enter your unique betterbunch Zapier API key. Check out how to find your Zapier API key here
  11. On the right-hand menu, select Choose an event, then Create Invitation, and then Continue
  12. Click the name field, and select the Customer first name you would like to choose from. Complete the same process for email and phone 
  13. Select Test Step. This will generate a test invitation inside betterbunch. Exciting stuff! 
  14. To check that you're happy with the test, log in to your betterbunch account and head to the invitations tab on the left menu. Here, you should find the invitation has been generated through Zapier and is reflected in your betterbunch account as either sending or sent (depending on your sending rules)
  15. If you're happy with the test, fantastic! Hit Publish inside Zapier, and Bob's your uncle.

What software platforms does Zapier integrate with?

If betterbunch doesn't offer a custom integration with your software, then Zapier integration is available for most leading software platforms.
If your software is listed in one of Zapier's 6000+ Integrations, then we are able to connect your software with betterbunch for Automation using the Zapier integration. 

Is there a cost to connect Automation using Zapier Integration?

One rule does not fit all. Some users may need to pay for a subscription to Zapier to connect Automation with betterbunch - but it all depends on what software you use and how many invitations you plan to send per month. 

If you send less than 100 invitations per month and your software is standard software (not labelled 'premium'), then a free Zapier plan should suffice. 

If your software is labelled 'premium' and/or you intend to send over 100 invitations per month. Then, you may need to pay for a Zapier Starter plan.
